How to Integrate SharePoint with Signit?
What is SharePoint Integration Used For?
SharePoint integration creates a seamless connection between Signit and your Microsoft 365 environment. This allows you to automatically archive completed, signed documents directly into designated SharePoint folders, and fetch documents and templates from SharePoint to initiate signature requests without manual file uploads.
Step 1: Access and Activate the Integration
From the Signit sidebar, navigate to "Organization settings" > "Integrations". Find the "SharePoint integration" card and click "Activate".
Step 2: Configure Storage Destination and Document Structure
Once connected, you must configure how signed documents will be stored in SharePoint.
Storage Destination: Choose where completed documents will be saved:
- Dedicated Signit Folder: Signit will automatically create and manage a new folder in your SharePoint site for all archived documents.
- Original Folder: If the document was originally sourced from SharePoint, the signed copy will be saved back to its folder of origin.
Document Structure: Decide how the final document and its audit trail are saved:
- Combined PDF + Audit Trail: Saves one single PDF file containing the signed document with the audit trail appended at the end.
- Separated: Saves the signed document and its audit trail as two separate files within the selected folder.
Click "Save" to apply your settings.
Step 3: Fetching Documents from SharePoint
When you create a new document in Signit, you will see an option to import a file from your connected sources.
1. Select "Import from" > "SharePoint".
2. A window will appear, allowing you to browse your SharePoint document libraries and folders.
3. Navigate to and select the document you wish to use for the signature request.
4. The file will be imported directly into Signit, ready for you to add participants and fields.
Step 4: Install the Signit Extension on SharePoint
For enhanced functionality and direct Signit actions from within SharePoint, you can install the Signit Extension.
Step 4.1: Download the Extension
Download the latest version of the Signit Extension from the provided link: https://drive.google.com/drive/folders/1zeCeDcYrcbe04UxQvUTf9J-7WZHPs09R?usp=sharing
Step 4.2: Deploy the Extension
Open the deployment URL in your browser. Replace <sitename> with your actual SharePoint site name:
https://<sitename>.sharepoint.com/sites/appcatalog/AppCatalog/Forms/AllItems.aspx
Step 4.3: Upload the Extension File
On the deployment page, upload the extension file you downloaded in Step 4.1.
Step 4.4: Choose Deployment Scope
You have two options:
- Organization-wide deployment: If you want the extension to be available across all SharePoint sites in your organization, check the box that allows organization-wide deployment.
- Site-specific deployment: If you prefer to limit the extension to specific sites, leave the box unchecked and manually install it on the desired sites only.
Step 5: Locate Signed Documents in SharePoint
Once a signature request is initiated from SharePoint and all participants have completed the signing process, a new folder named "SignIt Documents" will automatically appear on your main SharePoint site.
Step 5.1: Access Your Main SharePoint Site
Open the following URL in your browser (replace <sitename> with your actual SharePoint site name):
https://<sitename>.sharepoint.com
Step 5.2: Browse the SignIt Documents Folder
Inside the "SignIt Documents" folder, you will find subfolders named after user IDs. Each subfolder represents the user who initiated the respective signature request.
Important Notes
- Permissions: The user who initially connects the SharePoint integration must have sufficient permissions within SharePoint (e.g., Site Owner or Member with write access) to grant Signit the necessary access to read and upload documents.- Automatic Archiving: The archiving process is fully automatic. Once a document is signed by all participants, it will be sent to your chosen SharePoint location based on the configuration in Step 2.
- Connection Status: You can return to the Integrations page at any time to verify the connection status or modify your storage settings.
- Connecting to sharepoint is only possible with sharepoint online, connecting to sharepoint on-prem is not applicable
